Who we are. Serai OS is operated by Serai, based in Windsor, Ontario, Canada. We build tour management software for community group travel operators worldwide. Questions: support@seraihub.com

What information we collect

When you request a demo, we collect your name, email, phone number, and company name. When tour operators use Serai OS to manage trips, they collect and store traveler data including names, dates of birth, passport numbers, visa copies, and payment information. This traveler data belongs entirely to the operator — Serai does not use it for any purpose other than providing the software service.

How your data is protected

All data is encrypted in transit (TLS 1.3) and at rest. We use Supabase, which enforces Row Level Security — meaning each operator's data is completely isolated and inaccessible to any other operator or third party. Passport numbers and sensitive traveler documents are stored with access controls restricted to the operator and their explicitly invited team members only. No staff at Serai has routine access to your traveler data.

How we use your information

Contact information submitted via our demo request form is used solely to follow up about Serai OS. We do not sell, share, or rent your information to any third party. We do not serve advertising. We may use aggregated, anonymized data (e.g., total number of trips processed) to improve the software.

Data retention

Demo request data is retained for up to 3 years or until you request deletion. Operator and traveler data is retained for the duration of the operator's subscription and for 90 days after cancellation, after which it is permanently deleted.

Your rights (Canada — PIPEDA)

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to access, correct, or request deletion of your personal information. To exercise these rights, email us at support@seraihub.com. We will respond within 30 days.

Your rights (USA — California residents)

California residents have rights under the California Consumer Privacy Act (CCPA) to know what personal data we hold, request deletion, and opt out of any sale of personal data. We do not sell personal data. To submit a request, email support@seraihub.com.

Service description

Serai OS is a software-as-a-service (SaaS) platform for tour operators. It provides tools for booking management, traveler communication, document collection, and trip coordination. Serai is the developer and operator of Serai OS.

Operator responsibilities

You are responsible for obtaining proper consent from your travelers before entering their personal data into Serai OS. You must comply with all applicable privacy laws in your jurisdiction (including PIPEDA in Canada and applicable US state laws). You are responsible for the accuracy of data entered and for maintaining appropriate data access controls within your account.

Data ownership

All traveler data you enter into Serai OS remains yours. Serai does not claim ownership over any operator or traveler data. You may export your data at any time and request full deletion upon cancellation.

Limitation of liability

Serai OS is provided as a management tool. Serai is not a travel agency, tour operator, or licensed travel agent. We are not liable for any losses arising from trip cancellations, traveler disputes, visa refusals, or events outside the software. Our aggregate liability is limited to the fees paid by you in the 3 months preceding any claim.

Acceptable use

You may not use Serai OS to store data without traveler consent, to send unsolicited communications, or for any unlawful purpose. We reserve the right to suspend accounts that violate these terms.

Governing law

These terms are governed by the laws of Ontario, Canada, without regard to conflict of law principles. Disputes shall be resolved in the courts of Windsor, Ontario.

Changes to these terms

We may update these terms. We will notify subscribers by email at least 14 days before material changes take effect. Continued use after that date constitutes acceptance.
